Essential Tips

Important

Keep patient identifiers out of your dictation

Use generic terms like "patient" or "caregiver" instead of real names. You are responsible for not dictating patient names, dates of birth, phone numbers, or addresses. Our AI is instructed to use generic terms like "the patient," but if identifiers appear in your dictation, they may appear in the generated note. Always review your output before use.

Important

Preserve Terms keeps your terminology

Medical brands like Silvadene or DuoDerm can look like proper names. Add them to your Preserve Terms list (in Advanced Options) to ensure they appear exactly as dictated in your generated notes.

Pro Tip

Visit type affects your note structure

Choose your reason for visit first. A wound care visit emphasizes assessment and measurements; a teaching visit focuses on patient education and response. The AI tailors the note structure based on your selection.

Recording and Entering Notes

Can I type instead of recording?

Yes. You can type or paste text directly into the summary field, record audio, or combine both. Many users dictate from the car and then add details by typing when they have a moment.

What is Conciseness mode?

The Concise/Detailed toggle (next to the Generate button) controls note length. Choose Concise for shorter, more direct notes if your agency prefers brief documentation or you find the default output too detailed.

Is there a keyboard shortcut to generate notes?

Yes. Press Ctrl+Enter (or Cmd+Enter on Mac) to generate your note without clicking the button.

Does it work on my phone?

Yes. EchoMed works on any device with a browser. No app download required. Voice recording works on mobile browsers that support microphone access (most modern phones do).

Customizing Your Notes

Can I create custom templates?

Yes. Under Advanced Options, you can add organization-specific instructions or formatting requirements. Save them as templates to reuse across visits. This is helpful for teams with specific documentation standards, and it adapts EchoMed to inpatient, outpatient, therapy, and other settings beyond its home-health roots.

How many templates can I save?

Solo plans include up to 3 saved templates. Pro and Practice plans have unlimited template storage plus specialty template packs. You can delete old templates anytime to make room for new ones.

After Your Note Is Generated

How do I copy my note?

Click the Copy button below your generated note. The entire note is copied to your clipboard, ready to paste into your EHR or documentation system.

Can I download or email my note?

Yes. Use the Download button to save your note as a text file, or use Email to send it directly to yourself or a colleague. This is useful for backup or sharing with supervisors.

Account and Billing

How do I check my usage?

Your usage meter appears on the dictation page and shows audio minutes used and notes generated. Click it to expand details about your current billing period and remaining allowance.

What happens when I reach my plan limit?

If your plan has a usage limit, generation pauses when you reach it until the next billing cycle. Pro and Practice include unlimited dictation. Contact us from the Support page if you need more headroom.

How does pricing work right now?

EchoMed offers three plans: Solo at $45/month, Pro at $65/month, and Practice at $79 per clinician/month for 3+ seats. A Business Associate Agreement is included at every tier, and annual billing gets you 2 months free. New self-serve checkouts are paused right now; existing subscribers continue uninterrupted. Contact us through the Support page and we'll set you up.

What is the baseline time setting?

Baseline time is how long you typically spend writing notes manually. We use this to calculate time saved. You can update it anytime in Account settings to see more accurate efficiency metrics.

Does EchoMed store my notes or dictation?

No. EchoMed does not store your transcripts or generated notes. Audio files are deleted immediately after transcription, and generated notes exist only in your browser session. We store only your user account and usage data — never clinical content.

Is two-factor authentication available?

Yes. You can enable two-factor authentication from the Account page. It works with authenticator apps like Google Authenticator, Authy, or Microsoft Authenticator. Recovery codes are provided during setup in case you lose access to your device.
